Privacy Policy

Mitsubishi Electric Logistics Corporation (Hereinafter referred to as "we", "us" or "our") contributes to the realization of a more dynamic and rewarding future through providing logistics services that surpass the expectations of our clients.

Through our business activities, we collect a variety of data including personal information pertaining to individuals. We believe that it is our corporate social responsibility (CSR) to protect such personal information, ensuring its accuracy and safe storage in accordance with laws and regulations.

We work constantly to improve and maintain the processing of Personal Information Policy while at the same time widely communicating our personal information protection policies to all company personnel (including board members, regular employees, part-time employees, short-term workers, and temporary workers) and relevant parties.

1.Purpose of Personal Information Protection

Our purpose is to protect the rights and interests of individuals while properly and effectively utilizing personal information and considering the usefulness of personal information.

2.Intended Use of Personal Information

We will use personal information only when it is necessary for business execution within the scope of the purpose of use specified to the individual. In addition, we are taking necessary measures to prevent unintended use.

3.Acquisition and Use of Personal Information

We fairly and lawfully collect personal information. When personal information is obtained directly from the individual, the necessary items such as the purpose of use will be clearly stated and consent will be obtained. In addition, the acquired personal information shall be used for the following purposes, except when permitted by law.

  1. Personal information about clients and other trading partners
    1. For correspondence concerning the provision of our services, negotiations, concluding of contracts, placement of orders, settlement of accounts, development of systems, and other processes;
    2. For business activities, marketing activities, communications and public affairs related to the services provided by our company us and companies in our Group.
  2. Personal information liconcerning job applicants, retirees, and internship applicants
    1. For recruitment procedures and communication;
    2. For resignation procedures and post-resignation communication;
    3. For internship procedures and communication;
  3. Personal information about board members and employees (regular employees, contract-based employees, part-time workers, employees seconded from other companies, temporary workers)
    1. For personnel labor management at our company and companies in our Group;
    2. For business activities and other activities of our company and companies in our Group.
  4. Personal information concerning other stakeholders
    1. For procedures and communication concerning CSR activities.

4. Provision of Personal Information to Third Parties

We will not provide any personal information in our possession without the consent of the person concerned to any other corporation or individual (hereinafter referred to as "third party"), except in the following cases;

     
  1. Joint use of personal information
  2. There may be instances where personal information is jointly used with companies in our Group within the scope necessary for achieving an intended purpose.

    1. Shared personal information:
      Name,. date of birth, age, gender, identification photograph, address, telephone number, e-mail address, company name, department, position, qualifications, etc.
    2. Joint users:
      Companies in our Group, including subsidiaries and affiliated companies.
    3. Intended use:
      As per the above-mentioned intended use of Personal Information.

  3. Outsourcing of personal information
    There may be instances where we provide the processing of personal information, in whole or by portion, to a third party within the scope necessary for achieving an intended purpose. In the event we provide the processing of personal information to a third party, we shall exercise due care in selecting the contractor, and shall strive to manage and supervise to ensure that the personal information is handled in a proper manner by the said third party.
  4. Provision of personal information in accordance with laws and regulations
  5. Instances where personal information is provided for the sake of protecting lives, physical wellbeing and property when the consent of the person concerned is difficult to obtain
  6. Instances where personal information is especially necessary for improving public health and promoting the sound upbringing of children when the consent of the person concerned is difficult to obtain
  7. Instances where it is necessary to cooperate with the execution of legally specified duties of a government agency, local public body, or person entrusted thereby when the gaining of the consent of the person concerned might impede the execution of the said duties
  8. Instances where personal information is provided for the continuation of operations following a merger or other such cause

5. Our Framework for Protecting Personal Information

  1. We have put in place a framework for protecting personal information to ensure the due and proper management and protection of the personal information in our possession.
  2. We shall exercise proper care in the handling of the personal information in our possession in accordance with the laws and, regulations.
  3. In order to prevent unauthorized access, loss, destruction, falsification, leakage of personal information, we will adopt necessary safety control measures along with rational safety measures.
  4. We have put in place a framework for protecting personal information within our Group companies and have established a personal information group policy.

6. Inquiries

We will respond promptly in a suitable and reasonable manner to any requests for disclosure, correction, deletion, suspension of use of personal information from the person concerned, as well as inquiries such as complaints and consultations. We will also strive to keep personal information accurate and up-to-date.

The Mitsubishi Electric Logistics Group (hereinafter referred to as "we", "us" or "our") recognizes the need for the proper management of personal information, and we handle such information in our possession in accordance with the following principles:

1. Collection of Personal Information

We will collect and process your personal information (regardless of electronics or non-electronics information) lawfully, fairly and in a transparent manner only to the extent necessary for providing our services or performing our contractual obligations.

2. Data Minimization

We will keep personal information adequate, relevant and limited to what is necessary in relation to the purpose for which it was provided. We will not collect personal information in advance or store personal information for future purposes, unless required or permitted by laws or regulations.

3. Intended Use of Personal Information

We will only use the personal information for one or more specified and legitimate purposes. Personal information will not be used or processed in any manner incompatible with those purposes. When we need to use your personal information beyond the scope of such purposes, we shall obtain your consent, except when extended use would be permitted by laws or regulations.

4. Accuracy of Personal Information

We will keep personal information accurate and up-to-date and shall take all reasonable steps to ensure that personal information that is inaccurate will be removed or rectified without delay.

5. Limited Retention

We will keep personal information no longer than is necessary for the purposes for which the personal information was provided. Unless otherwise permitted by laws and regulations, personal information that is no longer needed or relevant will be purged or deleted.

6. Management of Personal Information

Your personal information is subject to data secrecy., In managing personal information, we assign an officer in charge of handling personal information, and take appropriate and adequate protective measures on a technical and organizational level against unauthorized or unlawful use and processing.

7. Provision of Personal Information to Third Parties

Unless otherwise permitted by laws and regulations, we will not provide your personal information to any third party without your consent. In addition, your personal information will not be transferred to another country or territory unless that country or territory will ensure an adequate level of data protection.

8. Inquiries

We acknowledge that you have the right to know which of your personal information we hold and have the right to access your personal information ask for rectification, removal or object to the (automated) processing of it. We will respond promptly in a suitable and reasonable manner to any inquiry from you about your personal information or requests for corrections or erasure.

9. Compliance with Laws and Regulations, and Commitment to this Policy

We fully abide by all laws and regulations concerning personal information protection in each country (e.g. Japan Act on the Protection of Personal Information [Act No. 57 of May 30, 2003], the European General Data Protection Regulation [EU 2016/679]). Moreover, we are committed to compliance with the provisions of this Group Privacy Policy.
